Live Like Lou Foundation is a national nonprofit organization dedicated to supporting families affected by Lou Gehrig’s disease and advancing ALS research. They are seeking an Operations Coordinator/Executive Assistant to manage donor data and provide high-level administrative support to the Executive Director and staff, ensuring smooth operations and effective communication.
Responsibilities
- Serve as the point person for Live Like Lou’s donor database, Bloomerang, including:
- Data entry (updating contact information; creating constituent records)
- Importing credit card transactions
- Processing third-party donation portals for matching gifts and employee giving programs
- Assisting with reporting (monthly transactions, appeal performance, stewardship tracking, etc.)
- Managing honor/memorial gift notifications
- Developing and maintaining procedures and processes related to data integrity and maximizing tools within the database
- In collaboration with staff based at Live Like Lou’s headquarters, ensure donations received by mail are acknowledged and tracked appropriately
- Coordinate an organized intake/notification process for sympathy communications
- Manage the Executive Director’s calendar, including scheduling and confirming appointments, and ensuring all necessary documents are available for meetings
- Ensure timely and appropriate responses to staff, trustee, and community requests on behalf of the Executive Director
- Oversee special projects, anticipate next steps, and take initiative, exercising discretion and sound judgment while being sensitive to deadlines
- Manage the Executive Director’s monthly expense reports and submit for reimbursement as requested; support budget tracking and documentation
- Assist with board and committee support, including creating agendas, gathering and disseminating meeting materials, preparing presentations, and maintaining meeting minutes and related correspondence
- Provide general administrative support for Live Like Lou staff and trustees as needed
Skills
- Fundraising database/CRM experience required
- Strong organizational skills and the ability to manage multiple priorities/activities in an independent and unstructured work setting
- Attention to detail and a high level of accuracy
- Ability to maintain confidential information with discretion
- Excellent interpersonal skills, including the ability to work with a diverse group of people
- Excellent written and oral communication skills
- Proven ability to successfully work remotely and independently
- Proficient computer skills: Microsoft Office suite (required)
- Minimum of an associate's degree preferred, but not required
- Bloomerang experience is highly preferred; candidates with 3+ years of experience in a different CRM will be considered
- Prior experience as an executive assistant, administrative assistant, or in a related role supporting senior leadership is strongly preferred
- Preferred experience in: Typeform, Zapier, Reviewr (or similar tools)
